Here are the steps to change the primary user admin settings in QBO:

Step 1: Sign in as the Current Primary Admin

  • To get started, sign in to QuickBooks Online using the credentials of the current primary admin.
  •  In case you’re unable to sign in, use the user ID recovery option.

Step 2: Go to the Settings Menu

  • Once you’re logged in, click on the Settings ⚙ icon, which is usually located at the top right corner of the page.

Step 3: Manage Users

  • In the Settings menu, select Manage Users
  • This will show you a list of all users associated with your QuickBooks Online account.

Step 4: Choose the User to Become the Primary Admin

  • Find the user you want to transfer the primary admin role to. 
  • In the Role column, check if the user is listed as an Admin. 
  • In case they are not, click Edit to change their role to Admin.

Step 5: Initiate the Transfer of Primary Admin Role

  • Once the user is listed as an Admin, click on Action
  • After this, select Change Primary Admin from the dropdown menu.
  • A pop-up will appear asking for confirmation. Click Change Primary Admin again to finalize the transfer.
  • Sign out of QuickBooks Online.

Lastly, the user you’ve assigned the primary admin role to will receive an email invitation. Once the new primary admin accepts the invite, they will have the primary admin rights. The original primary admin will automatically be assigned the Company Admin role.

Intuit Enterprise Suite is a cloud-based accounting software that can be used my many users at once. Follow these steps given below if you want to change the primary admin in Intuit Enterprise Suite. 

Step 1: Sign in as the Current Primary Admin

Log in to Intuit Enterprise Suite with the current primary admin’s credentials. Use the user ID recovery option if needed.

Step 2: Go to Settings 

Click the Settings ⚙ icon in the top right corner.

Step 3: Manage Users 

From the settings menu, select Manage Users to see all users linked to your Intuit Enterprise Suite account.

Step 4: Select the New Primary Admin 

Find the user you want to assign as the new primary admin. Confirm they are listed as an Admin in the Role column. In case not, click Edit to change their role to Admin.

Step 5: Transfer the Primary Admin Role

Once the user is an Admin, click Action, then select Change Primary Admin.

Step 6: Confirm the Transfer 

A pop-up will appear asking you to confirm the change. Click Change Primary Admin again to confirm.

Step 7: Automatic Sign-out

After confirmation, you will be signed out of Intuit Enterprise Suite automatically. When you log back in, you’ll have the Company Admin role.

Step 8: New Primary Admin Accepts the Invitation 

The new primary admin will receive an email invitation. They must accept the invitation and sign in to their Intuit account to complete the process.

Step 9: Final Role Update

After accepting, the new primary admin will have the primary admin rights, and the original admin will be assigned the Company Admin role.

For multi-entity companies, the parent primary admin will gain access to all client companies.
